TaskWorks Feature List
Enhance project performance with Taskworks
The extensive range of features in TaskWorks are categorised
under the four headings below. Check out the Product Tour to see some of these features

Project Time and Expenses
- Billable and Non-billable hours can be recorded by all
project participants against individual Tasks on projects they are assigned to work
on. You can even record hours of effort via a mobile phone or PDA.
- Expenses handling by personnel in TaskWorks makes for
easy work in refunding personnel and ensuring the cost is recharged to the client.
Expense claims can be printed out in PDF format for attaching to invoices to customers.
- Administration fees are automatically added to expenses
by TaskWorks if enabled by the project manager.
- Vacation time or annual leave entitlement for personnel
is recorded in TaskWorks against special Internal Development Projects (called IDP
for short). These projects (One per region) have no customer and the hours are always
recorded as non-billable. You can provide greater granularity in analysis of non-revenue
earning time by adding extra Tasks to the IDP projects for recording non-billable
hours of other types. EG Sick leave, vacation, internal development, office admin,
meetings etc.
- Rates of pay for personnel can be recorded either on an
ad-hoc basis or you can establish central pay scales and link personnel to these.
- Sick Leave can be recorded by personnel against the special
Internal Development Projects. See above (Vacation time) for more information.
- Bank Holidays can be marked out in TaskWorks to ensure
that monthly personnel utilisation statistics are kept accurate. It would be inaccurate
to measure utilisation for a given month based on a flat 20 working days per month.
Taskworks calculates personnel utilisation and revenue ratios with 100% accuracy.
- VAT or Value added Tax (Also called Goods and Services
Tax or Sales Tax in many countries) is handled seemlessly by TaskWorks.
- Project Templates simplify and speed up the process of
setting up projects. Repetitive setup can be done in a single click by reusing project
templates.

Project collaboration and messaging
- Integration with Outlook 2007 enables your Project Start
/ End dates and To-Do items to be synchronised with your Outlook Calendar and Tasks
lists.
- Project collaboration tools in Taskworks are termed "Community
Section" and available on each project you create. Project Community Sections help
improve communications between project participants and reduce delays due to confusion
and misunderstanding. Part of the Product Tour section of this website covers messaging,
file upload, To-Do items and RSS in detail.
- Email notification in Taskworks is used to inform users
when project To-Do items have been assigned to them, new messages have arrived in
project forums where they requestsed notification of any new posts and also when
any new files are uploaded. See also RSS feeds below.
- File upload areas for each project. Allowing sharing of
documents, video, databases and other files. Attach files to messages in forums.
- Message Forums by project. Each project has a special
messaging area where project personnel can discuss project related matters and attach
files to their messages..
- Milestones can be established in project maintenance and
To-Do items linked to them.
- RSS feeds linked to the Community section of all projects
you are involved in. Changes to To-Do lists, Project Message forums, File upload
areas are all notified direct to your desktop.
- To-Do lists. Can be assigned to personnel on the project
or left unassigned so they appear on all project personnel's desktop alert list
(See Tracking and Monitoring section below for more details about Alert lists).
To-Do items can be attached to project milestones or given independant dates.
- Customer login accounts. You can give your customers login
accounts (These do not come out of your subscription, customer logins are free of
charge) to gain entry to just the community section of a project so they can be
more involved in project delivery. Customer logins do not get access to the other
parts of Taskworks so protecting your confidential information.

Tracking and monitoring
- Gantt charts can be produced for a project showing the
start and end dates of Project Tasks as well as percentages completed so far. You
can also take related Projects on a given customer Purchase order and chart them
all together on one single combined Gantt.
- Project portfolio control. TaskWorks simplifies monitoring
of the porfolio of projects you are assigned to or are lead/manager for. The Project
Desktop screen shown after login has special Tabs giving you a complete oversight
of the current position on all projects.
- Regions can be created in TaskWorks and projects and personnel
then allocated to these regions. Staff in one region are restricted from viewing
activities in another region unless explicit security settings are made in the system
by an executive role user.
- Reports in Taskworks are produced as PDF documents and
many also allow export to Excel to allow further manipulation by users. The list
of reports is evolving each week but the usual reports to list project profitability,
regional profitability, personnel utilisation, Revenue ratios etc are available

- Task Alert Lists - Project Desktop (Main screen on login)
shows Task items on projects you are assigned to that are due for completion in
the following 28 days and also those that have not been completed by their due date.

- Tracing non-revenue hours is easily done in TaskWorks
since personnel can record hours not spent in billable work against a special Internal
Development project (Or IDP). This is setup by TaskWorks with one task against it
for personnel to record this sort of time against but you can create more Tasks
to break out time spent on annual leave, sickness, meetings, career development/courses
etc.
- People utilisation analysis gives you an accurate oversight
on the amount of utilisation of your most expensive resource, the personnel on the
projects. The report suite provides you with up to the minute analysis of the amount
of revenue earning work carried out by each member of staff when compared to the
possible amount of working hours in calendar months. You can even do this analysis
for sub-contractors and part time personnel.
- Revenue ratios reporting will help you to track as a ratio
the amount of revenue earning work each menber of staff has in a given period compared
to their "staff costs". A good performance indicator for tracking the higher performers
in a team of personnel.
- Complete project statements with varying degrees of detail
are available in the reporting suite. Each one provides a different level of granularity
on the activity on a project starting with the most detailed showing every single
timesheet and expense recorded against every Task on the project.
